Pre-Migration Analysis

Based on the assessment phase, where we analyzed the existing environment, a more detail analysis should result in a final project plan for the migration & transformation of the Lotus Notes application.
 
A pre-migration analysis should consider two principal areas;
 
1. Application replacement
2. Data migration
Application replacement 

First, we have to consider how the existing Lotus Notes application should be replaced. We should consider the following

 
  • Platform, SharePoint, existing ERP or ?
  • Purchase an application?
  • Develop a new application. In addition, what platform should we use?
  • Can some of the Notes databases be merged into one new application?

 

Data migration 

Second, when we have a plan for application/database replacement, we can start looking at data migration. Data migration can be a messy, time-consuming and a difficult undertaking task with high potential for failure. But, data migration is unavoidable if an organisation wants to retain its valuable data and knowledge assets. Decisions has to be made regarding, which data elements should:
 
  • Migrated to new application
  • Archived
  • Left in the source system
  • Transferred to a data warehouse
  • Dealt with in some other manner
 
Data that we want to migrate to new applications or archived in the new platform, for example SharePoint, can be classified as follow:
 
  • Standard Notes database to standard SharePoint template – a One to One migration
  • Notes database to standard SharePoint template
  • Notes database to new developed sharePoint application
  • Notes database to new purchased application
  • Notes database to other database
 
Based on the findings, databases has to be prioritized and an action- & time-plan has to be set for the migration and tranformation phase.
 
Coexistence
A migration cannot be done overnight. Coexistence is an inevitable reality. The question is how to manage coexistence? How to minimize that time. And do we have tools that can help in the coexisting period?
 
We believe that an important step an a migration process is to get rid of the Notes client as soon as possible. This will have a positive psychological effect on the organization. In addition, save time from unconstructive support from IT department due to the Notes client on the PC. This means, that an important part of a migration project, is to assess the cost benefit of making some of the Notes databases web based. Users in the organization think that Notes is out. This can give valuable time in the migration project making sure that hasty decision are not taken.
